Optional · after your catch-up

Monthly bookkeeping from US$349 a month, with the team that caught you up.

Once your books are rebuilt and the agreed overdue returns are filed, you can keep them current with optional monthly bookkeeping. The same team records and reconciles each month, then sends you a profit and loss statement and balance sheet.

Your plan and monthly fee are confirmed in writing before monthly bookkeeping starts. All prices in U.S. dollars.

Which plan fits?

The plan that fits is the one whose transaction and account limits cover a normal month for your company. Higher plans raise the limits and add a regular financial review call.

What’s in every plan?

Every plan covers the routine monthly work: transactions categorized, bank and credit-card accounts reconciled, a monthly profit and loss statement and balance sheet, and routine bookkeeping questions answered by email.

The people who rebuilt your books carry on with them. They already know your accounts, your regular vendors and where the records had gaps, so the first month picks up where the catch-up ended instead of starting over with someone new.

How the limits work

  1. Combined, not per accountThe transaction and account limits apply across all the accounts in your plan added together.
  2. Current books, ordinary activityPlan prices assume the books are up to date and the month’s activity is ordinary for your company.
  3. Complexity can change the quoteLoans, payment processors, inventory, accrual-basis complexity or other reconciliation work may affect the monthly fee.
  4. No surprise upgradesIf your volume or complexity changes, we’ll discuss it with you first. There’s no automatic upgrade and no extra charge unless you agree to the revised scope.

What isn’t included?

A monthly plan is bookkeeping. Filings and finance work beyond the books are quoted separately unless your proposal expressly includes them.

Annual business tax preparation is quoted separately. We confirm the fee and included returns in writing. The catch-up works differently: for each outstanding year it covers, its fee includes the federal corporate return set out in your proposal.

Your company pays for its own QuickBooks Online or Xero subscription, so the file stays in your company’s name.

Taxes, penalties, interest and government fees (such as Sunbiz fees) are separate: your company pays them directly. All prices in U.S. dollars.

Quoted separately unless expressly included

  • Payroll processing
  • Sales-tax filing
  • Income-tax returns
  • Bill payment
  • Receivables management
  • CFO or controller services

How does monthly start?

Monthly bookkeeping starts after your catch-up, picking up from the last month the team closed, in QuickBooks Online or Xero.

The historical catch-up comes first and is quoted separately, from US$2,500 per outstanding year. How the catch-up works

Not sure what’s still outstanding? Tell us on the free call what’s been filed and what hasn’t, and we’ll explain how we’d get you caught up and keep you there.

  1. The catch-up is done

The books for each outstanding year are rebuilt and reconciled, and the agreed overdue returns are filed. That becomes the starting point, not a separate set-up project.

  2. You choose a plan

By then the team has seen how your business actually runs, so the plan in your proposal is based on real activity, not a guess. You approve it in writing before monthly bookkeeping begins.

  3. The first month closes

The next month’s activity is recorded and reconciled in the same QuickBooks Online or Xero file, and your first monthly profit and loss statement and balance sheet follow.

Which deadlines does a Florida corporation have?

A calendar-year Florida corporation has federal and Florida due dates all through the year: payroll forms each quarter, W-2s and 1099s each January, the income tax return in the spring, Florida sales tax on its assigned schedule, reemployment tax each quarter and the Sunbiz annual report by May 1.

See a calendar-year company’s due dates

January 31

Form 941 and Florida RT-6 for October to December; Form 940 for the year; W-2s to employees and the Social Security Administration; Form 1099-NEC to contractors and the IRS.

March 15

Form 1120-S for an S corporation, or an LLC taxed as one.

April 15

Form 1120 for a C corporation, or an LLC taxed as one.

April 30

Form 941 and RT-6 for January to March.

May 1

The Sunbiz annual report, which can be filed from January 1; Florida F-1120 for a C corporation.

July 31 and October 31

Form 941 and RT-6 for April to June, then for July to September.

Every sales tax period

Florida DR-15, due on the 1st and late after the 20th of the month after the period, even when no tax is due.

Federal due dates that fall on a weekend or legal holiday move to the next business day. Forms 941 and 940 get 10 more days when every deposit was made on time. A fiscal-year corporation files Form 1120-S by the 15th day of the 3rd month after its year-end, and Form 1120 by the 15th day of the 4th month (the 3rd month for a June 30 year-end that began before 2026).

Which dates apply depends on the company: payroll forms only with employees, the DR-15 only for a registered dealer, and the F-1120 for C corporations. This calendar is general information. Monthly plans keep the books behind these filings current; they don’t include deadline tracking or reminders, and the filings themselves are quoted separately unless your proposal expressly includes them.

What happens if our volume goes past the plan’s limits?

Nothing changes on its own. We’ll talk it through with you and explain the revised scope and its price, and there’s no upgrade or extra charge unless you agree to it. Above the Established plan’s limits, or with materially complex books, the monthly fee is a custom quote.

Why keep the books every month when the tax return is once a year?

Because most filing dates aren’t once a year. Payroll forms are quarterly, sales tax can be monthly, and the annual report and the income tax return fall in the spring. Books that agree with the bank every month give each of those filings solid numbers to start from, whoever prepares them, and they keep year-end from turning into another catch-up.

Is monthly bookkeeping only for corporations?

Yes. It’s for Florida C corporations, S corporations and LLCs taxed as either. Not sure how yours is taxed? Choose “Not sure how it’s taxed” on the form. A business that reports only on the owner’s personal return (Schedule C) isn’t a fit for Cayde’s U.S. service.

Is there a contract for monthly bookkeeping?

No contract; cancel any time. Your plan and monthly fee are confirmed in writing before monthly bookkeeping starts, and the catch-up never commits you to it.

Who pays for QuickBooks Online or Xero?

Your company pays for its own QuickBooks Online or Xero subscription, so the file stays in your company’s name. The monthly fee covers the bookkeeping work.
